Generating daily cost reports from handwritten notes and text messages was no longer viable for Rumco Construction. “Between our superintendents, our project engineers and our accounting system, we were getting to where we had three different sets of books,” said Carlos Gonzalez, VP of Rumco Construction, and numbers weren’t matching up.
Looking for a way to eliminate the duplication of data and turn people into users of data rather than creators of data, Rumco implemented HCSS’s job management software HeavyJob. Starting with a few pilot jobs, a small group worked through the system to fully understand it before introducing it to all jobs across the board. “We now have about 25-30 active jobs at once using HeavyJob,” said Gonzalez. “We have one guy using the Field version on a laptop but pretty much everyone else is using HeavyJob Mobile on iPads.”
The foremen are using HeavyJob very well and it has cut down on a lot of their paperwork. “I think they enjoy having the immediate feedback on how an activity stood cost wise. It has increased their awareness of their costs on their operations on a much more real time basis,” said Gonzalez. “We created a custom report through HCSS which is set up on a batch process that goes out through a notifier to our managers and everybody else that’s receiving it.”
“We get a report everyday with all of the jobs with their daily quantities and culumlative quantities and costs,“ continued Gonzalez. “If there’s any exceptions, let’s say a quantity is over reported beyond what a budgeted quantity is, it shows up in red. That’s giving our other managers and our superintendents a starting point where to direct their efforts and see what’s going on or what that problem is. We can also monitor jobs that are tracking along well as you can quickly see at a glance that we’re on track.”
Rumco also uses HCSS’s estimating software HeavyBid. Using both programs together has allowed them to get better job cost information back into HeavyBid. “We’ve started getting more of our estimators set up where they can go into HeavyJob Manager to know about a job that is going on that they bid,” said Gonzalez. “Since the structure of HCSS products are very similar in HeavyJob and HeavyBid it’s easy for them to navigate and look at production to see how we did. They can see what crews we actually used and be able to get quicker feedback on how their estimate performed to see how we’re actually doing. Then they can take some of that back to a future bid.”
